Privacy Policy

1. Who We Are
Kapwa.social ("Kapwa," "we," "us," or "our") is an event-based photo sharing platform that allows event hosts to create a shared photo album that guests can contribute to via a unique URL or QR code. Kapwa.social is operated by Marc Fernandez.

2. Information We Collect
From Hosts (registered accounts)
- Name and email address at sign-up
- Billing information processed securely by Stripe — we never store payment card numbers
- Event details you create (name, date, location, description)
- Photos and settings you upload or configure
From Guests (event attendees)
When you join an event as a guest, we collect:
- Your first name and either an email address or phone number (required for accountability)
- Your Instagram handle, if you choose to provide it
- Photos you upload to the event album
Automatically collected information
For every guest session, we silently capture the following for safety and accountability purposes:
- IP address and country of origin
- Browser and device type (user agent)
- Timezone
- How you arrived at the event (direct link, QR code, shared link)
- A session identifier generated on first page load
- Upload timestamps for every photo
This information is only accessible to the event host and to Kapwa.social for abuse prevention and legal compliance purposes. It is never sold or shared with third parties for marketing.
3. How We Use Your Information
- To provide the service — displaying your photos in the event gallery, sending invites, processing RSVPs, and managing registry and potluck items
- For accountability — every upload is traceable to a guest's name, contact info, and device in case of abuse or legal requests
- For communication — sending event invites via email or SMS on behalf of the event host, and sending service-related notifications to hosts
- For billing — processing subscription payments and one-time event passes via Stripe
- For safety — detecting and preventing abuse, spam, and violations of our Terms of Service
4. Photos and Content
Photos you upload are stored securely on Cloudflare R2 and processed through Cloudinary for watermarking. Raw uploaded photos (including full EXIF metadata) are retained privately in secure storage for accountability and legal purposes. Processed, watermarked versions are served publicly in the event gallery.
The event host controls who can view the gallery and can remove any photo at any time. If you believe a photo of you has been posted without your consent, contact us at hello@kapwa.social and we will work with the host to address your request.
5. Sharing Your Information
We do not sell your personal information. We share information only in the following circumstances:
- With the event host — your name, contact info, device details, and upload activity are visible to the host of any event you join
- With service providers — we use Firebase (Google) for authentication and database, Cloudflare R2 for storage, Cloudinary for image processing, Resend for email delivery, Twilio for SMS delivery, and Stripe for payments. Each provider processes only the data necessary for their service.
- For legal compliance — we may disclose information if required by law, court order, or to protect the rights and safety of our users or the public
6. Data Retention
- Event albums are retained for the duration set by the host's subscription tier
- Free tier events expire 15 days after the event date
- Guest session records are retained for 12 months after the event for accountability purposes
- Hosts may request deletion of their account and associated data by contacting hello@kapwa.social
7. Cookies and Tracking
Kapwa.social uses browser session storage (not cookies) to remember your check-in information within a single browsing session. We do not use third-party advertising trackers or sell behavioral data to advertisers.
Free-tier event pages may display Google AdSense advertisements. Google may use cookies to serve relevant ads. See Google's Privacy Policy for details.
8. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Object to or restrict certain processing of your information

9. Children's Privacy
Kapwa.social is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered hosts of material changes by email. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
